Implementation, training and support

The software is the smaller half of the job. This is how we get a business from signed order to a till that balances, and what support looks like afterwards.

Implementation, step by step

  1. Scoping callBusiness type, branches, tills, item count, how you price and sell on credit, which add-ons you need. We agree the package and a plan.
  2. Server and tillsWe install the server software and MySQL on your machine (or set up a hosted account), register each till, and set up printers, scanners and drawers. Updates are automatic from then on.
  3. Company setupBranches, control accounts, VAT codes, units, categories, price levels, payment terms, users and their rights.
  4. Data importItems, customers and suppliers are imported from your spreadsheet (xlsx or csv) using the built-in import tool. Opening stock and opening balances are posted as part of the import. Historical transactions are not migrated.
  5. TrainingTill and back-office training on site at installation, plus the built-in step-by-step Help guide on every screen.
  6. Go-liveFirst trading days with us reachable; the first cash-up and stock-take done together.

Keeping your data safe

Security, backups and hosting, accurately

Access control

Users sign in with a username and password; every action is checked against the rights granted to their role, and anything not granted is refused. Administrators can require a supervisor's authorisation for sensitive actions. Tills are registered devices.

Audit trail

Creates, edits and deletes on items, customers, sales and other records are logged with the user, the time and the before and after values. Deleted sale lines are kept in their own log.

Backups on site

An on-site server can take a compressed backup of every database nightly and keep seven daily and four weekly copies, with the result reported to our monitoring. We recommend a second drive or an off-site copy; a backup on the same disk does not survive that disk.

Hosted accounts

Hosted customers reach the system over HTTPS. Hosting is on servers operated by Sajsoft Solutions Ltd; database backups for hosted tenants are arranged per customer and confirmed in writing at onboarding.

Passwords and secrets on servers

Database passwords stored on an installed server are encrypted to that machine so a copied configuration file does not give them away. Secrets never reach the browser.

What we do not claim

We hold no ISO or PCI certification. Card and M-Pesa payments are processed by the respective providers, not stored by Crystaline ERP.

Frequently asked

Do I need internet to sell?

Not with the server on your premises: tills use the local network. Internet is needed for M-Pesa, eTIMS, emails, overnight updates and hosted accounts.

How are updates installed?

Overnight, automatically, to the release we have pinned for your site. Nothing is downloaded during trading hours; a failed update rolls back on its own.

Can I keep using the desktop (Windows) version?

Yes. The classic Crystaline desktop application and the web version work on the same database, so a business can move till by till.

Who owns the data?

You do. On-site, the database is on your machine. Hosted, you can request a full export at any time.
