Prepare the minimum reliable opening data
Agree a cutover date and choose the item, supplier, customer and opening balance records required. Remove duplicates, standardise units and reconcile balances with the people responsible for them.
Your working checklist
- Back up and archive source workbooks before editing.
- Test-import a small, representative data sample.
- Compare stock quantities and customer totals after import.
- Sign off opening balances and train staff before going live.
Put it into practice
Keep the old records available for historic enquiries without letting staff post the same transaction into both systems indefinitely. Agree the fallback plan, final import window and owner for issues during the first trading days.
